Terms of Service

1. Agreement

These Terms of Service ("Terms") govern your organization's use of the PolicySolver platform and related services provided by Biowest Energy Inc. ("PolicySolver", "we", "us"). By granting admin consent for the PolicySolver application in your Microsoft 365 tenant, your organization agrees to these Terms.

2. Service description

PolicySolver is a SharePoint-native policy intelligence platform that provides AI-powered document search, analysis, editing, and workflow capabilities for municipal and government organizations. The platform integrates with your existing Microsoft 365 environment through a SharePoint Framework (SPFx) web part and supporting backend services.

3. Your data

Your organization retains full ownership of all documents and data stored in your SharePoint tenant. PolicySolver creates indexed copies of document content on our infrastructure to provide search and AI features. Original documents are never modified, moved, or deleted by PolicySolver's backend services. See our Privacy Policy for full details on data handling.

4. Microsoft 365 integration

PolicySolver requires specific Microsoft Graph API permissions to function. These permissions are disclosed during the admin consent process and are documented in detail during onboarding. Your organization's administrator can review and revoke these permissions at any time through the Azure Active Directory admin portal.

5. Acceptable use

You agree to use PolicySolver in compliance with all applicable laws and regulations, including data protection and privacy legislation applicable to your jurisdiction. You are responsible for ensuring that documents processed through PolicySolver do not violate any third-party rights.

6. Service availability

We strive to maintain high availability of the PolicySolver platform. However, we do not guarantee uninterrupted access. Scheduled maintenance windows will be communicated in advance. The platform depends on Microsoft 365 services; outages in Microsoft's infrastructure may affect PolicySolver functionality.

7. Limitation of liability

PolicySolver provides AI-assisted analysis and recommendations. These should not be treated as legal advice. Your organization is responsible for verifying the accuracy of any AI-generated content before relying on it for policy decisions. PolicySolver shall not be liable for decisions made based on AI-generated analysis.

8. Termination

Either party may terminate the service by providing 30 days written notice. Upon termination, PolicySolver will delete all indexed copies of your document content within 30 days. Your original documents in SharePoint remain unaffected. Your administrator can immediately revoke application access through Azure AD.

9. Changes to these terms

We may update these Terms from time to time. Material changes will be communicated to your organization's designated administrator. Continued use of the platform after notification constitutes acceptance of the updated Terms.

10. Governing law

These Terms are governed by the laws of the Province of Alberta, Canada.
